Responsibilities
- Process and review incoming applications, forms, and correspondence with a high degree of accuracy and adherence to city protocols.
- Maintain and organize official city records, files, and digital databases to ensure data integrity and ease of retrieval.
- Provide exceptional customer service to residents and visitors, answering inquiries regarding city ordinances, procedures, and departmental services.
- Perform high-volume data entry tasks, including updating databases, compiling statistical reports, and preparing correspondence.
- Assist department heads and staff with scheduling, meeting preparation, and general office administration.
- Ensure strict confidentiality of sensitive information and public records in compliance with federal and state regulations.
- Collaborate with cross-functional teams to streamline office workflows and improve departmental efficiency.
Qualifications
- High School Diploma or GED equivalent; an Associate's degree in Business Administration or a related field is preferred.
- Minimum of 2 years of experience in an office environment, preferably within government, legal, or public administration.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software (e.g., Salesforce, Accela).
- Strong attention to detail with the ability to spot errors and ensure data precision.
- Excellent verbal and written communication skills, with the ability to interact professionally with diverse populations.
- Ability to prioritize tasks effectively in a fast-paced, multi-tasking environment.
- Valid driver's license and reliable transportation may be required for occasional site visits.
