Responsibilities
- Record Management: Maintain accurate and up-to-date electronic and physical records of city documents, permits, and correspondence.
- Public Assistance: Greet visitors and answer inquiries professionally, directing them to the appropriate department or staff member.
- Data Entry: Process applications, forms, and reports with a high degree of accuracy using internal database systems.
- Communication: Draft, proofread, and distribute internal memos and external correspondence on behalf of department heads.
- Office Support: Manage incoming and outgoing mail, schedule appointments, and assist with general office logistics.
- Compliance: Ensure all filing and administrative procedures adhere to city policies and state regulations.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or higher preferred.
- Experience: Minimum of 1-2 years of administrative or clerical experience, preferably within a government or public sector setting.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Attributes: Strong verbal and written communication skills; exceptional attention to detail and problem-solving abilities.
- Availability: Must be able to work a standard full-time schedule, including occasional evening or weekend shifts as required.
- Background: Ability to pass a background check and drug screening as per city hiring policies.
