Responsibilities
- Manage high-volume communications, including emails, phone inquiries, and visitor reception, ensuring all constituents receive timely and professional assistance.
- Prepare, edit, and distribute official government reports, meeting agendas, and minutes with strict attention to accuracy and compliance.
- Maintain and organize complex filing systems, including both digital and physical records, in accordance with state and federal retention policies.
- Coordinate internal and external meetings, including scheduling, venue preparation, and preparing briefing materials for department heads.
- Assist in the processing of government permits, applications, and paperwork, ensuring all documentation is complete and submitted on time.
- Perform data entry and analysis using government databases and standard office software to support departmental decision-making.
- Serve as a liaison between the department, other city agencies, and the general public to resolve issues and disseminate information effectively.
Qualifications
- High School Diploma or GED required; Associate’s degree in Public Administration, Business Administration, or a related field is preferred.
- A minimum of 2-3 years of administrative experience in a government, corporate, or high-volume office environment.
- Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) and experience with government-specific case management software.
- Strong working knowledge of public service ethics, confidentiality protocols, and administrative regulations.
- Excellent written and verbal communication skills with the ability to draft clear and concise correspondence.
- Ability to multitask effectively, prioritize work under pressure, and maintain a professional demeanor in a busy office setting.
