Responsibilities
- Receive and direct incoming calls and visitors in a professional, courteous, and timely manner.
- Perform accurate data entry and maintain updated electronic and paper records for agency operations.
- Process and route incoming mail, faxes, and interoffice deliveries efficiently.
- Assist the public with inquiries regarding agency services, forms, and procedural guidelines.
- Prepare and distribute internal memos, correspondence, and departmental reports.
- Maintain the cleanliness and organization of the reception area, waiting rooms, and general office spaces.
- Support the administrative staff with various ad-hoc tasks and special projects as needed.
Qualifications
- High School Diploma or GED equivalent is required.
- Strong verbal and written communication skills with the ability to interact professionally with diverse populations.
- Basic proficiency with Microsoft Office Suite (Word, Excel, Outlook) and computer navigation.
- Ability to work effectively in a fast-paced, team-oriented environment while managing multiple priorities.
- Proven reliability, punctuality, and attention to detail.
- Willingness to learn new software applications and office procedures quickly.
- Ability to sit for extended periods and perform repetitive tasks such as filing and typing.
