Responsibilities
- Office Management: Oversee daily operations, including mail processing, supply procurement, and facility maintenance to ensure a productive workspace.
- Document Control: Prepare, review, and distribute high-priority federal correspondence, reports, and memorandums with absolute accuracy.
- Scheduling & Coordination: Manage executive calendars, book travel arrangements, and coordinate inter-agency meetings and conferences.
- Compliance & Records: Maintain confidential electronic and physical filing systems in strict adherence to federal record-keeping standards.
- Staff Support: Assist federal personnel with travel vouchers, timekeeping, and procurement requests using government systems.
- Vendor Liaison: Communicate effectively with external vendors and service providers to resolve administrative issues and negotiate contracts.
Qualifications
- Education: Bachelor’s degree in Business Administration, Public Administration, or a related field preferred; high school diploma with significant relevant experience considered.
- Experience: Minimum of 2-4 years of experience in administrative support, preferably within the federal government or a large-scale corporate environment.
- Federal Knowledge: Strong understanding of federal regulations, procurement processes, and the Federal Acquisition Regulation (FAR) is highly desirable.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and government-specific software (e.g., ELM, SAP, or COTS tools).
- Communication: Exceptional written and verbal communication skills with the ability to convey complex information clearly.
- Attention to Detail: Meticulous approach to data entry, scheduling, and documentation to ensure zero errors.
