Responsibilities
- Manage and process incoming correspondence, applications, and requests for information from the public and internal departments.
- Maintain and update official records, databases, and filing systems with the highest level of accuracy and confidentiality.
- Assist the public with navigating city services, answering inquiries, and providing exceptional customer service at the front desk.
- Prepare and distribute meeting agendas, minutes, and official documents to city officials and stakeholders.
- Process payments, invoices, and permits, ensuring all financial transactions are recorded correctly.
- Perform data entry tasks using various computer software and government systems to track departmental metrics.
- Collaborate with department heads to support special projects and administrative initiatives.
Qualifications
- High School Diploma or GED equivalent is required; Associate’s degree or coursework in Public Administration is a plus.
- Proven experience in an office administration, clerical, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new database systems quickly.
- Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Strong attention to detail and the ability to maintain strict confidentiality regarding sensitive information.
- Ability to work efficiently under pressure and manage multiple priorities in a fast-paced environment.
- Valid California driver’s license and access to a reliable vehicle may be required.
