Responsibilities
- Greet and direct visitors with a professional demeanor, answering inquiries and directing them to the appropriate staff members.
- Compose, proofread, and edit correspondence, memos, reports, and presentations using Microsoft Office Suite.
- Maintain organized filing systems, both physical and digital, ensuring strict adherence to record retention policies.
- Manage incoming and outgoing mail, packages, and inter-departmental communications efficiently.
- Assist in scheduling meetings, booking conference rooms, and coordinating travel arrangements for department leadership.
- Perform general clerical duties, including data entry, photocopying, scanning, and faxing documents.
- Support the procurement process by preparing purchase orders and tracking inventory of office supplies.
Qualifications
- High School Diploma or GED required; Associate’s degree or certificate in Business Administration preferred.
- Minimum of 1-2 years of experience in an administrative or clerical support role.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and basic accounting software.
- Strong written and verbal communication skills with the ability to interact with diverse stakeholders.
- Exceptional organizational skills with a keen attention to detail and accuracy.
- Ability to maintain strict confidentiality regarding sensitive government information.
- Reliable internet connection and a quiet workspace are required for remote or hybrid tasks.
