Responsibilities
- Administrative Support: Manage complex calendars, schedule appointments, and coordinate meetings for department leadership.
- Record Management: Organize, maintain, and archive physical and digital records in compliance with state regulations.
- Communication Hub: Serve as the primary point of contact for internal and external stakeholders, answering inquiries and routing messages efficiently.
- Reporting: Prepare and compile statistical reports, memos, and correspondence with a high degree of accuracy.
- Process Improvement: Assist in streamlining office workflows and implementing best practices for document handling.
- Event Coordination: Assist in planning and logistics for state-sponsored community events and public hearings.
Qualifications
- Education: High School Diploma or GED required; Associate’s Degree in Business Administration or a related field is preferred.
- Experience: Minimum of 2 years of experience in an administrative or clerical role within a government or corporate setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with government databases or record-keeping systems.
- Communication: Excellent written and verbal communication skills, with the ability to interact professionally with diverse populations.
- Integrity: Demonstrated ability to maintain confidentiality and adhere to strict ethical standards and compliance protocols.
- Availability: Ability to work a set schedule (e.g., 20-25 hours per week) including occasional evenings or weekends as needed.
