Responsibilities
- Manage and organize incoming and outgoing public records in compliance with state regulations and the California Public Records Act (CPRA).
- Conduct thorough research and retrieval of historical data to assist government agencies and the general public.
- Maintain and update digital databases and physical filing systems to ensure accuracy and easy accessibility.
- Screen and prioritize incoming correspondence, ensuring urgent matters are escalated immediately.
- Prepare detailed reports regarding record retention policies and disposal schedules.
- Assist in the digitization of physical documents to modernize our archival systems.
Qualifications
- High School Diploma or GED required; Associate’s degree in Library Science, History, or Public Administration is preferred.
- Previous experience in a records management, administrative, or government office setting is highly desirable.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with document management software (e.g., SharePoint, Adobe Acrobat).
- Exceptional attention to detail with the ability to detect errors in data entry and filing.
- Excellent verbal and written communication skills for interacting with diverse stakeholders.
- Ability to maintain confidentiality and adhere to strict regulatory compliance standards.
