Responsibilities
- Record Management: Organize, index, and retrieve confidential city records efficiently using both digital and physical filing systems.
- Data Entry: Accurately input and update data into government databases and spreadsheets, ensuring high levels of data integrity.
- Customer Service: Assist visitors and staff with inquiries regarding records and administrative processes in a professional and courteous manner.
- Compliance: Ensure all records are handled in accordance with federal, state, and local privacy and retention laws.
- Reporting: Assist the Records Manager in generating periodic reports on record retention and access statistics.
- General Admin: Perform other related clerical duties as assigned to support the daily operations of the department.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Records Management, Public Administration, or a related field is preferred.
- Experience: Minimum of 1-2 years of experience in administrative support, data entry, or records management is preferred.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook); experience with government-specific software (e.g., SAMS, GRAMS) is a plus.
- Attributes: Strong attention to detail, excellent organizational skills, and the ability to maintain confidentiality.
- Communication: Strong verbal and written communication skills with the ability to interact with diverse populations.
- Availability: Ability to work a flexible schedule, including some evenings or weekends if required by departmental needs.
