Responsibilities
- Manage and oversee daily administrative operations and office procedures for the department.
- Prepare, compile, and present detailed reports, memos, and correspondence for department heads.
- Receive and screen incoming calls and visitors, directing inquiries to the appropriate staff members.
- Maintain and organize complex filing systems, both electronic and physical, ensuring strict confidentiality.
- Assist in the preparation of the department budget and monitor expenditures.
- Coordinate inter-departmental meetings and prepare meeting agendas and minutes.
- Process and review incoming applications, documents, and forms for accuracy and compliance.
Qualifications
- High school diploma or GED required; Associate’s degree in Public Administration, Business, or a related field is preferred.
- Minimum of 3-5 years of progressively responsible experience in administrative support or government operations.
- Proven experience with government software and record-keeping systems.
- Excellent written and verbal communication skills with the ability to interact professionally with the public and officials.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask effectively in a fast-paced, deadline-driven environment.
- Knowledge of local, state, or federal government regulations and compliance standards is a plus.
