Responsibilities
- Manage and maintain official city records, archives, and filing systems with the highest level of accuracy.
- Receive, screen, and route incoming correspondence, emails, and phone calls to appropriate departments.
- Prepare and process official documents, including resolutions, ordinances, and meeting minutes.
- Assist the public with inquiries, providing courteous and informative service regarding city policies and procedures.
- Utilize database management systems to update and verify citizen information and departmental data.
- Coordinate with various city departments to ensure seamless information flow and document retrieval.
Qualifications
- High School Diploma or GED required; Associate’s degree in Business Administration or Public Administration preferred.
- Proven experience in administrative support, records management, or a government clerical role.
- Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook) and database management software.
- Exceptional organizational skills with a keen eye for detail and the ability to prioritize multiple tasks efficiently.
- Strong written and verbal communication skills; ability to interact professionally with diverse populations.
- Knowledge of Pennsylvania state government regulations and public records laws is a plus.
