Responsibilities
- Manage High-Volume Correspondence: Serve as the primary point of contact for incoming inquiries via phone, email, and mail, ensuring timely and accurate responses.
- Data Management: Maintain and update complex databases and filing systems with strict adherence to state privacy regulations and confidentiality protocols.
- Office Operations: Oversee daily office logistics, including supply inventory, meeting coordination, and equipment maintenance to ensure seamless operations.
- Customer Service Excellence: Assist constituents with navigating state programs and explain complex policies in clear, accessible language.
- Report Generation: Compile statistical data and prepare detailed reports for departmental leadership to support decision-making processes.
- Process Improvement: Identify opportunities to streamline administrative workflows and propose modern solutions to enhance team efficiency.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or related field preferred.
- Experience: Minimum of 2 years of progressive experience in an administrative or clerical role within a government or corporate setting.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software (e.g., Salesforce, Oracle) is mandatory.
- Communication: Exceptional verbal and written communication skills with the ability to interact professionally with diverse populations.
- Adaptability: Strong organizational skills with the ability to prioritize tasks and meet strict deadlines in a fast-paced environment.
- Regulatory Knowledge: Understanding of basic government compliance standards and privacy laws (HIPAA/GDPR) is a plus.
