Responsibilities
- Manage Correspondence: Receive, review, and route incoming mail, emails, and inquiries to the appropriate departments or staff members in a timely manner.
- Public Assistance: Assist visitors and constituents by answering questions, providing information, and directing them to the correct resources.
- Record Keeping: Maintain accurate and organized filing systems for both physical and digital documents to ensure easy accessibility.
- Data Entry: Perform high-volume data entry tasks, including inputting information into state databases and updating records as needed.
- Report Preparation: Prepare routine reports and correspondence drafts under the supervision of senior staff.
- Office Support: Assist with scheduling meetings, ordering supplies, and ensuring the general cleanliness and organization of the office workspace.
- Compliance: Adhere to all state privacy laws and government office protocols when handling sensitive information.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or coursework in Business Administration, Public Administration, or a related field is preferred.
- Experience: Previous experience in a customer service or administrative role, preferably within a government or public sector setting, is highly desirable.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new government software systems quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with the public and government officials.
- Attention to Detail: Strong attention to detail and the ability to maintain accuracy in data entry and record-keeping tasks.
- Reliability: Demonstrated ability to work independently and meet deadlines in a fast-paced environment.
- Background: Must pass a standard background check and pre-employment screening.
