We are seeking a highly organized and detail-oriented Administrative Assistant to support federal operations at our New York City office. The ideal candidate will possess a strong understanding of federal compliance standards and exhibit exceptional proficiency in office management. You will serve as the first point of contact for internal and external stakeholders, ensuring a professional and efficient workflow.
Responsibilities
- Manage complex calendars, schedule executive meetings, and coordinate domestic and international travel arrangements.
- Prepare, compile, and present statistical material for briefings, reports, and federal presentations.
- Process incoming correspondence, draft responses, and ensure timely and accurate distribution of information.
- Maintain and organize electronic and physical filing systems in strict compliance with federal record-keeping standards.
- Assist with the preparation of grant applications, contracts, and mandatory federal reporting documentation.
- Order office supplies and manage inventory for the federal workspace.
- Facilitate communication between various departments to ensure project milestones are met.
Qualifications
- Bachelor's degree preferred or equivalent experience in an administrative role.
- Proven experience working in a federal, government, or high-level corporate environment.
- Strong working knowledge of federal regulations, compliance standards, and procurement processes.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and government-specific software.
- Excellent written and verbal communication skills with the ability to draft professional correspondence.
- Exceptional attention to detail and the ability to manage multiple priorities in a fast-paced setting.
