Responsibilities
- Provide comprehensive administrative support for departmental operations including document processing, scheduling, and records management
- Assist with public inquiries via phone, email, and in-person interactions with professionalism and cultural competency
- Prepare and distribute official correspondence, reports, and meeting materials using Microsoft Office Suite
- Coordinate departmental events, meetings, and logistics including venue setup and participant registration
- Manage digital filing systems and ensure compliance with public records retention policies
- Support data entry and basic reporting functions using city databases and software platforms
- Collaborate with cross-functional teams on special projects and community outreach initiatives
Qualifications
- High school diploma or equivalent required; Associate's degree in Public Administration or related field preferred
- 0-2 years of administrative support or customer service experience in a professional setting
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new software quickly
- Strong written and verbal communication skills with attention to detail and accuracy
- Ability to maintain confidentiality and handle sensitive information with discretion
- Valid Oregon driver's license or ability to obtain within 30 days of hire
