Responsibilities

  • Manage and maintain official city records, including ordinances, resolutions, contracts, and meeting minutes with the highest level of accuracy.
  • Coordinate and prepare materials for City Council, Commission, and Board meetings, ensuring strict compliance with Robert’s Rules of Order.
  • Process and respond to public records requests in accordance with Oregon's public records laws (ORS 192.420 - 192.505).
  • Provide exceptional customer service to residents, businesses, and media outlets regarding city policies and procedures.
  • Oversee the certification of documents and the maintenance of the City Seal and official signatures.
  • Assist in the development and implementation of filing systems and digital records management solutions.
  • Collaborate with department heads to ensure accurate dissemination of citywide information.

Qualifications

  • High school diploma or GED required; Bachelor’s degree in Public Administration, Political Science, or a related field is strongly preferred.
  • Minimum of 3-5 years of experience in municipal administration, records management, or a comparable public sector role.
  • Thorough knowledge of Oregon Revised Statutes regarding public meetings and public records.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with records management software (e.g., CaseWorthy, Accela).
  • Excellent written and verbal communication skills with the ability to draft clear and concise documentation.
  • Strong organizational skills with the ability to prioritize tasks in a high-volume, deadline-driven environment.
  • Ability to work occasional evenings or weekends as required for special meetings or events.
