Responsibilities
- Manage and maintain official city records, ordinances, resolutions, and minutes with meticulous accuracy
- Administer oaths of office, public records requests, and document certification processes
- Coordinate municipal elections, voter registration, and ballot initiatives per Arizona state law
- Provide legislative support to the Mayor and Council including agenda preparation and public meeting facilitation
- Oversee records retention policies, document archiving, and electronic records management systems
- Serve as the primary liaison between citizens and city government for procedural inquiries
- Ensure compliance with public records laws (ARS § 39-121) and open meeting regulations
Qualifications
- Bachelor's degree in Public Administration, Business, or related field (Master's preferred)
- Minimum 3 years of municipal government or records management experience
- Proficiency with records management software (e.g., Laserfiche, DocuWare)
- Deep knowledge of Arizona Revised Statutes § 9-490 to § 9-523 and election procedures
- Exceptional attention to detail with proven document management accuracy
- Strong written/verbal communication skills and public-facing customer service abilities
- Valid Arizona driver's license and ability to work irregular hours during election periods
