Responsibilities
- Record Keeping: Prepare and maintain accurate minutes of City Council and Commission meetings, ensuring all official actions are properly documented and filed.
- Public Records: Manage and retrieve public records in strict compliance with the California Public Records Act (CPRA) and other relevant state regulations.
- Administrative Support: Provide high-level administrative support to the City Manager and department heads, including drafting correspondence, managing filing systems, and scheduling.
- Meeting Coordination: Coordinate logistics for official meetings, including preparing agendas, booking venues, and managing attendance lists.
- Communication: Serve as the primary point of contact for the public and media inquiries regarding official city matters, ensuring professional and timely responses.
Qualifications
- Education: High school diploma or GED required; Associate’s degree in Public Administration, Paralegal studies, or a related field is highly preferred.
- Experience: Minimum of 2 years of experience in a clerical, administrative, or government setting is required.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with Records Management Systems or document imaging software.
- Knowledge: Strong understanding of municipal government operations and California state regulations regarding public records and open meetings.
- Soft Skills: Exceptional attention to detail, strong organizational skills, and the ability to maintain strict confidentiality in all matters.
