Responsibilities
- Record Management: Maintain accurate and organized official records, including meeting minutes, ordinances, and resolutions.
- Customer Service: Provide exceptional assistance to the public, city officials, and employees regarding departmental inquiries and processes.
- Data Entry: Perform high-volume data entry tasks into various database systems with a focus on precision and speed.
- Document Filing: File, organize, and retrieve documents in compliance with state and local regulations.
- Meeting Coordination: Assist in the preparation and coordination of city council meetings and other official gatherings.
- Communication: Draft and distribute correspondence, memos, and reports as required by department leadership.
Qualifications
- Education: High school diploma or GED equivalent required; an Associate’s degree in Business Administration or Public Administration is preferred.
- Experience: Minimum of 2 years of clerical, administrative, or office support experience.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems (e.g., Accela, Salesforce).
- Communication: Strong verbal and written communication skills with the ability to interact professionally with diverse stakeholders.
- Attention to Detail: Demonstrated ability to manage multiple tasks simultaneously with a high degree of accuracy.
- Availability: Must be available to work flexible hours, including occasional evenings or weekends for special events or meetings.
