Responsibilities

  • Manage and maintain official city records, including ordinances, resolutions, minutes, and contracts, ensuring compliance with state and federal laws.
  • Prepare and distribute agendas, packets, and minutes for City Council and Board meetings; serve as the recording secretary for official proceedings.
  • Oversee the Freedom of Information Act (FOIA) requests, ensuring timely and accurate responses to the public.
  • Supervise and train office staff, managing daily workflow and ensuring high standards of customer service at the front counter and over the phone.
  • Coordinate voter registration activities and manage municipal elections in collaboration with the County Election Administrator.
  • Maintain the City Code of Ordinances and ensure staff and public access to these documents.
  • Handle complex correspondence, reports, and special projects as assigned by the City Manager or Mayor.

Qualifications

  • High school diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Business, or a related field preferred.
  • Minimum of 3 years of experience in municipal government, office administration, or records management.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with document management software (e.g., Accela, Logics, or similar).
  • Strong knowledge of Texas state laws regarding public records and open meetings.
  • Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
  • High level of attention to detail and the ability to prioritize multiple tasks in a fast-paced environment.
