Responsibilities
- Manage and maintain official city records, including ordinances, resolutions, and meeting minutes.
- Prepare and distribute meeting agendas and packets for city council and commission meetings.
- Receive and process public records requests in strict compliance with state transparency laws.
- Assist the public with inquiries regarding city services, permits, and policies.
- Organize and archive historical documents to ensure long-term preservation and accessibility.
- Perform data entry and maintain accurate databases using the city's document management systems.
- Coordinate with department heads to ensure timely filing and retrieval of documents.
Qualifications
- High school diploma or GED; Associate degree in Public Administration, History, or a related field is preferred.
- Minimum of 2 years of verifiable experience in records management, office administration, or public service.
- Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with document management software (e.g., SharePoint, Adobe Acrobat).
- Strong organizational skills with a keen attention to detail and accuracy in data entry.
- Ability to maintain strict confidentiality regarding sensitive city information.
- Must be able to work independently and prioritize tasks in a fast-paced environment.
