Responsibilities
- Manage and maintain official municipal records, permits, and documentation with meticulous accuracy
- Process and review applications for municipal services, ensuring compliance with city ordinances
- Provide exceptional customer service to residents, businesses, and city officials via phone, email, and in-person
- Coordinate with department heads to support council meetings, public hearings, and community events
- Utilize city databases to track records, generate reports, and maintain data integrity
- Assist in developing and implementing efficient administrative workflows and procedures
- Prepare correspondence, memos, and official communications following city protocols
Qualifications
- High school diploma or GED required; associate's or bachelor's degree preferred
- Minimum 2 years of administrative/clerical experience in government or public sector
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management
- Exceptional attention to detail and organizational skills with ability to handle sensitive information
- Strong written and verbal communication skills with ability to interact professionally with diverse stakeholders
- Knowledge of Philadelphia municipal regulations and procedures preferred
- Ability to multitask effectively in a fast-paced environment while maintaining strict confidentiality
- Valid Pennsylvania driver's license may be required for departmental travel
