Responsibilities
- Administrative Support: Perform a variety of clerical duties including filing, data entry, and answering high-volume phone inquiries with professionalism and courtesy.
- Record Management: Maintain accurate and organized records of departmental files, ensuring confidentiality and compliance with city regulations.
- Public Assistance: Greet and assist visitors, customers, and employees in person and via email, directing them to the appropriate resources.
- Document Processing: Review, verify, and process applications, permits, and official documents for accuracy and completeness.
- Scheduling & Coordination: Assist in scheduling meetings, coordinating events, and managing calendars for department leadership.
- Inventory Control: Monitor and order office supplies and equipment to ensure departmental operations run smoothly.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate's degree or coursework in Business Administration is preferred.
- Experience: Minimum of 1-2 years of experience in an office environment, government administration, or customer service is highly desirable.
- Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems.
- Communication: Excellent verbal and written communication skills, with the ability to interact effectively with diverse populations.
- Attention to Detail: Strong organizational skills and the ability to maintain data integrity under time constraints.
- Reliability: Punctual and dependable attendance is mandatory for this role.
