As a City Government Clerk, you will serve as the face of our departments, ensuring our patrons receive the highest level of service. You will be responsible for managing complex administrative functions, maintaining vital records, and facilitating communication between the public and city officials.
Responsibilities
- Manage front-desk reception duties, including greeting visitors professionally and directing them to the appropriate city departments.
- Process and verify incoming applications, forms, and permits with a high degree of accuracy and attention to detail.
- Maintain and organize official city records, databases, and filing systems using modern document management software.
- Answer incoming phone lines and respond to public inquiries regarding city services, policies, and procedures.
- Prepare correspondence, reports, and meeting agendas using Microsoft Office Suite and proprietary government systems.
- Assist in the coordination of public meetings and ensure all necessary materials are distributed to stakeholders.
- Perform data entry tasks to ensure all departmental statistics, budgets, and personnel files are current and accessible.
Qualifications
- High School Diploma or GED required; an Associate’s degree in Business Administration or Public Service is preferred.
- Proven experience in customer service, office administration, or a related government role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with data entry software.
- Strong attention to detail with the ability to maintain the strict confidentiality of sensitive citizen and government information.
- Excellent verbal and written communication skills with the ability to interact positively with diverse populations.
- Ability to multi-task effectively and prioritize work in a fast-paced, deadline-driven environment.
- Valid California driver’s license and reliable transportation may be required.
