Responsibilities
- Manage incoming inquiries via phone, email, and in-person, providing accurate information regarding city services and procedures.
- Process and maintain a wide variety of records, including permits, applications, and official documents, ensuring strict confidentiality and data integrity.
- Assist the public with the completion of forms and applications, offering guidance on submission requirements.
- Perform data entry and filing duties, maintaining organized and up-to-date digital and physical filing systems.
- Coordinate scheduling for department meetings and manage meeting agendas and minutes as required.
- Collaborate with various city departments to facilitate inter-departmental communication and workflow efficiency.
- Assist in the preparation of reports and statistical data for city management review.
Qualifications
- High School Diploma or GED equivalent required; Associate’s degree or higher in Public Administration or a related field is preferred.
- Minimum of 1-2 years of clerical or administrative experience in a government or corporate environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new database management systems quickly.
- Strong attention to detail with the ability to maintain accurate records and data entry.
- Excellent verbal and written communication skills with a professional, customer-service-oriented demeanor.
- Ability to handle sensitive information with the highest level of discretion and confidentiality.
- Basic knowledge of government regulations and public record processes is a plus.
