Responsibilities
- Record Management: Maintain and organize official municipal records, including deeds, permits, and court documents, ensuring they are easily accessible and accurately filed.
- Public Service: Serve as the primary point of contact for citizens visiting the office, answering inquiries, providing information, and directing visitors to the appropriate departments.
- Data Entry: Process incoming applications, forms, and documents with high accuracy, updating our digital databases in real-time.
- Correspondence: Draft, proofread, and distribute internal and external correspondence, memos, and reports to ensure clear communication.
- Office Operations: Manage the daily workflow of the front desk, including answering phones, routing calls, and handling mail distribution.
- Compliance: Assist in ensuring that all office procedures adhere to city ordinances, state regulations, and departmental policies.
Qualifications
- Education: High school diploma or GED required; an Associate’s degree in Business Administration or a related field is preferred.
- Experience: Minimum of 1-2 years of experience in an administrative or clerical role, preferably within a government or public sector environment.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management systems (e.g., Salesforce, Accela, or similar).
- Attributes: Exceptional organizational skills with a keen eye for detail and the ability to prioritize multiple tasks effectively.
- Communication: Strong verbal and written communication skills, with the ability to interact professionally with people from all backgrounds.
- Reliability: Demonstrated punctuality and a strong work ethic with the ability to work independently as well as part of a team.
