Responsibilities
- Record Management: Accurately receive, record, and process incoming mail, petitions, and official documents in accordance with municipal protocols.
- Public Assistance: Greet visitors, answer inquiries, and direct them to the appropriate departments with professionalism and courtesy.
- Meeting Support: Prepare and distribute agendas, take minutes at City Council and committee meetings, and maintain accurate meeting records.
- Data Entry: Maintain and update digital databases and filing systems to ensure the integrity of city records and facilitate quick information retrieval.
- Communication: Draft and send official correspondence, notifications, and reports to city officials and the public.
- Compliance: Assist in ensuring that all office operations adhere to local, state, and federal regulations.
- Administrative Support: Perform general clerical duties including photocopying, faxing, and scheduling appointments as needed.
Qualifications
- Education: High school diploma or GED equivalent required; Associate’s degree in business administration, public administration, or related field is preferred.
- Experience: Minimum of 1-2 years of clerical, administrative, or customer service experience in a government or corporate office environment.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn new database systems quickly.
- Communication: Excellent verbal and written communication skills with the ability to interact with diverse populations.
- Attention to Detail: Strong organizational skills with a keen eye for accuracy in data entry and document preparation.
- Integrity: Ability to handle sensitive information with confidentiality and discretion.
- Availability: Ability to work flexible hours, including occasional evening meetings or weekends.
