Responsibilities
- Public Service: Serve as the first point of contact for citizens, answering inquiries via phone, email, and in-person with a friendly and professional demeanor.
- Record Management: Accurately maintain, file, and retrieve official city records, ordinances, and permits using digital and physical filing systems.
- Data Entry: Process and input data into internal databases and management information systems (MIS) with high precision and speed.
- Administrative Support: Assist department heads and staff with scheduling, preparing meeting agendas, and distributing correspondence.
- Process Facilitation: Guide the public through various city application processes, ensuring all required documentation is collected correctly.
- Office Operations: Maintain the cleanliness and organization of the reception area and common workspaces.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree in Business Administration or Public Service is a plus.
- Experience: Previous experience in customer service or office administration is preferred but not required due to our paid training model.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer literacy.
- Communication: Excellent verbal and written communication skills; ability to interact effectively with individuals from diverse backgrounds.
- Integrity: Strong ethical standards and the ability to handle sensitive information with confidentiality.
- Availability: Ability to work a standard full-time schedule, including occasional evening or weekend shifts.
