Responsibilities
- Manage and maintain official city records with meticulous attention to detail and compliance with Oregon public records laws
- Process and track permits, licenses, and municipal documents with precision and timeliness
- Provide exceptional customer service to citizens, businesses, and city departments via in-person, phone, and digital channels
- Coordinate public meetings, prepare agendas, and maintain accurate minutes for city council and commission hearings
- Utilize specialized municipal software (e.g., Accela, Tyler) for document management and workflow automation
- Assist in developing and implementing record-keeping improvements to enhance operational efficiency
- Collaborate with cross-functional teams on special projects and policy initiatives
Qualifications
- Associate's degree or equivalent combination of education and experience in public administration or related field
- Minimum 2 years of clerical or administrative experience with document management systems
- Proficiency in Microsoft Office Suite and municipal record-keeping software
- Deep understanding of Oregon public records laws and municipal protocols
- Exceptional organizational skills with ability to manage competing priorities
- Strong written and verbal communication skills with customer service focus
- Ability to obtain and maintain Notary Public certification within 90 days of hire
- U.S. citizenship or legal authorization to work in the United States
