Key Responsibilities:
Responsibilities
- Manage and maintain accurate electronic and physical records for city departments, ensuring data confidentiality and compliance with open records laws.
- Process incoming mail, reports, and inquiries from the public and city staff with a high degree of accuracy and professionalism.
- Assist in the preparation of reports, agendas, and meeting minutes for City Council and departmental meetings.
- Perform data entry tasks, including updating databases, entering financial transactions, and maintaining inventory logs.
- Answer phone calls and greet visitors at the front desk, directing them to the appropriate department or staff member.
- Assist in the organization and filing of permits, licenses, and legal documents.
- Collaborate with other clerical staff to ensure smooth daily operations and workflow efficiency.
Qualifications
- High School Diploma or GED required; Associate’s degree or administrative certification is a plus.
- Minimum of 2 years of experience in an office administration, clerical, or customer service role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with government database software is highly preferred.
- Strong typing speed (minimum 40 WPM) and exceptional attention to detail.
- Excellent verbal and written communication skills.
- Ability to maintain composure and professionalism when interacting with diverse members of the public.
- Must be able to pass a background check and drug screening.
