Position Overview
In this entry-level position, you will support various departments by managing information flow, assisting the public, and maintaining accurate records. You will be the face of our organization, ensuring that our citizens receive the highest level of service.
Responsibilities
- Process Correspondence: Receive, screen, and route incoming mail, emails, and faxes while ensuring timely responses to the public.
- Customer Assistance: Assist visitors and callers with inquiries regarding government services, forms, and procedures using a professional and courteous demeanor.
- Data Management: Update and maintain accurate databases and filing systems, ensuring all records are organized and easily accessible.
- Office Support: Prepare meeting agendas, take detailed minutes, and compile reports for department supervisors.
- Document Preparation: Draft, proofread, and edit various documents, memos, and presentations using Microsoft Office Suite.
- Process Improvement: Identify areas for efficiency in daily administrative tasks and propose solutions to streamline operations.
Qualifications
- Education: High school diploma or GED equivalent required; Associate’s degree or Bachelor’s degree in Business Administration, Public Administration, or related field is a plus.
- Computer Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and experience with government software (e.g., SAP, Salesforce) is highly desirable.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Organization: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment effectively.
- Integrity: Demonstrated ability to handle sensitive information with confidentiality and adhere to government regulations and policies.
- Availability: Must be available to work a standard full-time schedule, including occasional evenings or weekends as needed.
