Responsibilities
- Manage incoming and outgoing correspondence, including emails, mail, and faxes, ensuring strict confidentiality.
- Answer high-volume phone inquiries from the public, providing accurate information and routing calls appropriately.
- Assist with scheduling appointments, coordinating meetings, and maintaining departmental calendars.
- Prepare, compile, and format basic reports, memos, and presentations using Microsoft Office Suite.
- Update and maintain digital and physical filing systems to ensure efficient document retrieval.
- Assist in the coordination of city events and community outreach programs.
- Perform general clerical duties such as data entry, photocopying, and scanning documents.
Qualifications
- High School Diploma or GED required; Associate’s degree or prior administrative experience is a plus.
- Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to type at least 35 words per minute.
- Strong written and verbal communication skills with a focus on public service.
- Attention to detail and the ability to multi-task in a fast-paced environment.
- Reliable transportation and the ability to work a standard 40-hour work week.
