Responsibilities
- Process and Organize Documentation: Accurately review, file, and manage incoming applications, records, and correspondence for various city departments.
- Customer Service Support: Serve as the first point of contact for the public and employees, answering inquiries regarding procedures, forms, and office hours with a professional and courteous demeanor.
- Data Entry and Management: Maintain accurate and up-to-date digital and physical records using City-approved software and databases; ensure data integrity and confidentiality.
- Office Operations: Perform general clerical duties such as photocopying, scanning, and distributing mail to support the efficient functioning of the office.
- Assist with Special Projects: Support senior staff with research, report compilation, and other administrative tasks as assigned to gain broader operational exposure.
- Compliance and Reporting: Ensure all work complies with local, state, and federal government regulations and agency policies.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s degree in Business Administration, Public Administration, or a related field is preferred.
- Experience: No prior professional experience required; however, internship or volunteer experience in an office setting is a strong plus.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn new computer systems quickly.
- Communication: Excellent written and verbal communication skills with the ability to interact effectively with diverse populations.
- Attention to Detail: Strong organizational skills and the ability to manage multiple tasks and priorities in a fast-paced environment.
