Responsibilities
- Manage and maintain an organized filing system for sensitive federal documents, ensuring compliance with privacy laws (e.g., FERPA, Privacy Act).
- Receive, screen, and route incoming correspondence, reports, and inquiries to appropriate staff members with high accuracy.
- Prepare, proofread, and format routine correspondence, memos, and reports using Microsoft Office Suite and other federal software.
- Coordinate and schedule meetings, appointments, and travel arrangements for management personnel.
- Process incoming and outgoing mail, including certified and express deliveries, and maintain logs of all distribution activities.
- Assist in the preparation of daily, weekly, and monthly status reports for department heads.
- Provide general administrative support to the office, including answering phones, greeting visitors, and maintaining office supplies inventory.
Qualifications
- Citizenship: Must be a U.S. Citizen.
- Education: High School Diploma or GED equivalent is required. Additional specialized experience may be substituted for education.
- Experience: At least one year of general administrative or clerical experience, preferably in a government or high-volume office setting.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to learn agency-specific databases.
- Typing: Typing speed of at least 40 words per minute is required.
- Security Clearance: Must be able to pass a background investigation and obtain a suitable background determination (e.g., Secret clearance eligibility).
- Physical Requirements: Ability to sit for extended periods and lift up to 20 pounds occasionally.
