We are seeking a highly organized and detail-oriented Federal Administrative Officer to join our dedicated team in San Francisco, CA. In this pivotal role, you will ensure the smooth operation of our federal administrative functions, ensuring compliance with strict government regulations while maintaining a high standard of service excellence.
As a key member of our administrative staff, you will serve as the primary point of contact for internal and external stakeholders, managing complex schedules, preparing high-level correspondence, and overseeing daily office operations. Responsibilities
- Operational Management: Oversee daily office operations, ensuring efficient workflow, resource allocation, and adherence to federal procurement and record-keeping standards.
- Stakeholder Coordination: Serve as the primary liaison between federal departments, local agencies, and external vendors, managing communications and scheduling high-level meetings.
- Documentation & Compliance: Prepare, review, and distribute comprehensive reports, memos, and correspondence; ensure all documentation complies with federal regulations and agency policies.
- Travel & Logistics: Coordinate domestic and international travel arrangements, including itineraries, visas, and accommodation, ensuring cost-effectiveness and compliance.
- Process Improvement: Identify areas for administrative process improvement and implement solutions to enhance productivity and reduce operational costs.
- Team Support: Mentor junior administrative staff and provide cross-functional support to ensure departmental goals are met efficiently.
Qualifications
- Education: Bachelor’s degree in Public Administration, Business Management, or a related field. Master’s degree preferred.
- Experience: Minimum of 5 years of experience in federal or high-level administrative roles within the government or a regulated industry.
- Knowledge: In-depth understanding of federal regulations, including the Federal Acquisition Regulation (FAR) and OMB Circulars, is required.
- Skills: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and experience with government-specific case management software (e.g., Salesforce, SharePoint).
- Communication: Exceptional written and verbal communication skills, with the ability to draft professional documents and present information clearly.
