Role Overview:
The Administrative Officer plays a critical role in ensuring the smooth operation of the Louisville Regional Office. You will serve as the primary point of contact for internal and external stakeholders, managing complex schedules, coordinating high-level meetings, and ensuring strict compliance with federal regulations and OPM standards.
Responsibilities
- Operational Management: Oversee daily office operations, including supply chain management, facility maintenance coordination, and resource allocation to ensure maximum efficiency.
- Regulatory Compliance: Ensure strict adherence to federal laws, executive orders, and agency policies regarding personnel actions, procurement, and financial reporting.
- Strategic Coordination: Serve as the liaison between management and staff, facilitating communication, resolving conflicts, and disseminating critical information across departments.
- Documentation & Reporting: Prepare and review complex administrative reports, memos, and briefing materials for senior leadership with a focus on accuracy and clarity.
- Event Planning: Plan and execute large-scale conferences, town halls, and training seminars, managing logistics, guest speakers, and attendee coordination.
Qualifications
- Education: Bachelor’s degree from an accredited college or university. A degree in Public Administration, Business, or a related field is preferred.
- Experience: At least 3 years of progressively responsible administrative experience in a government or high-level corporate setting. Experience with OPM personnel systems is highly desirable.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with federal HR or financial software (e.g., PeopleSoft, SAP) is required.
- Communication: Excellent verbal and written communication skills with the ability to articulate complex policies to diverse audiences.
- Integrity: Demonstrated ability to maintain the highest standards of confidentiality and ethical conduct in accordance with federal ethics laws.
