Responsibilities
- Manage high-volume incoming and outgoing correspondence, including email, phone calls, and physical mail, ensuring timely responses.
- Organize and maintain complex filing systems and records in accordance with federal retention schedules.
- Coordinate internal and external meetings, preparing agendas, taking minutes, and distributing meeting packets.
- Process travel arrangements and expense reports for agency staff in compliance with government travel policies.
- Assist in the preparation of reports, presentations, and grant applications using Microsoft Office Suite.
- Screen and route visitors and telephone inquiries, directing them to the appropriate personnel.
- Perform data entry and database management tasks to ensure accurate reporting.
Qualifications
- U.S. Citizenship is required for this position.
- Minimum of two (2) years of administrative or clerical experience in a professional office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and government-specific software (e.g., eOPF).
- Strong written and verbal communication skills with the ability to interact professionally with all levels of staff and the public.
- Excellent organizational skills with the ability to prioritize tasks and manage time effectively under deadlines.
- Ability to pass a background investigation and obtain a favorable suitability determination.
