Responsibilities
- Manage Complex Correspondence: Draft, proofread, and disseminate high-level correspondence, memos, and reports in strict adherence to federal formatting and confidentiality standards.
- Schedule & Coordination: Oversee executive calendars, coordinate high-profile meetings, and arrange travel logistics for federal officials with precision and timeliness.
- Record Management: Maintain accurate electronic and physical filing systems, ensuring the preservation of records in compliance with the Federal Records Act.
- Compliance & Research: Conduct research on federal regulations, policy updates, and legislative changes to ensure the organization remains in full compliance.
- Customer Service: Serve as the primary point of contact for internal stakeholders and external partners, resolving inquiries professionally and efficiently.
- Process Improvement: Identify inefficiencies in administrative workflows and implement solutions to enhance productivity and data accuracy.
Qualifications
- Education: Bachelor's degree in Business Administration, Public Administration, or a related field is preferred; equivalent combination of education and experience may be considered.
- Experience: Minimum of 2-4 years of administrative experience, preferably within a federal, government, or highly regulated corporate environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro.
- Regulatory Knowledge: Strong understanding of federal administrative procedures, procurement rules, and record-keeping mandates.
- Communication: Exceptional written and verbal communication skills with the ability to convey complex information clearly.
- Attention to Detail: Proven track record of maintaining accuracy in data entry, document formatting, and reporting.
