Responsibilities
- Manage incoming and outgoing correspondence, ensuring accurate and timely responses in accordance with federal regulations.
- Maintain and organize complex filing systems, including electronic and physical records, ensuring confidentiality and easy accessibility.
- Prepare and edit a variety of reports, memos, and presentations for executive review using advanced Microsoft Office Suite skills.
- Schedule and coordinate meetings, conferences, and travel arrangements for senior officials, managing calendars and logistics.
- Process timecards, travel vouchers, and expense reports with high accuracy.
- Act as a liaison between various departments and external agencies, facilitating communication and information flow.
- Assist in the preparation of documentation required for audits and inspections.
Qualifications
- High School Diploma or GED equivalent; additional college coursework in Business Administration or Public Administration is preferred.
- A minimum of 2 years of progressively responsible administrative or clerical experience in a professional office setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with the ability to learn new software quickly.
- Demonstrated ability to maintain strict confidentiality and handle sensitive information with discretion.
- Strong verbal and written communication skills with the ability to compose clear and professional correspondence.
- Ability to pass a background investigation and obtain a security clearance.
- Must be a U.S. Citizen.
