Responsibilities
- Executive Support: Manage complex calendars, schedule appointments, and coordinate domestic and international travel arrangements for senior leadership.
- Records Management: Oversee the filing of federal documents, ensuring strict adherence to the Federal Records Act and maintaining accurate, secure digital and physical archives.
- Communication Liaison: Draft, edit, and proofread high-stakes correspondence, memos, and reports; act as the primary point of contact for internal and external stakeholders.
- Program Coordination: Assist in the planning and execution of agency-wide meetings, conferences, and training sessions, including logistics and agenda preparation.
- Data Integrity: Input and verify data into federal databases and ensure the accuracy of administrative reports submitted to higher authorities.
- Compliance & Security: Maintain confidentiality of sensitive government information and adhere to all agency security protocols and safety regulations.
Qualifications
- Education: Bachelor's Degree in Business Administration, Public Administration, or related field preferred; High School Diploma with equivalent administrative experience may be considered.
- Experience: Minimum of 2-3 years of professional administrative experience, preferably within a government, legal, or healthcare setting.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with government-specific software (e.g., eBenefits, EMR systems) is a plus.
- Communication: Excellent written and verbal communication skills with the ability to convey complex information clearly and concisely.
- Organization: Proven track record of multitasking and prioritizing tasks in a fast-paced environment without sacrificing attention to detail.
- Security Clearance: Must be eligible to obtain and maintain a Public Trust Clearance.
