Responsibilities
- Manage Correspondence: Draft, review, and route incoming and outgoing correspondence with precision, ensuring compliance with OPM regulations and agency policies.
- Records Management: Organize, classify, and maintain accurate electronic and physical files for departmental operations, ensuring data confidentiality and accessibility.
- Program Support: Assist in the planning and execution of organizational meetings, conferences, and special events for leadership and staff.
- Time & Attendance: Process and review timesheets and leave requests for federal employees, ensuring accuracy in payroll processing.
- Procurement Assistance: Support the procurement process by preparing purchase orders, tracking vendor invoices, and maintaining inventory records.
- Customer Service: Serve as the primary point of contact for visitors and callers, providing high-quality service and directing inquiries to the appropriate personnel.
- Compliance Reporting: Prepare routine administrative reports and statistics to support management decision-making and strategic planning.
Qualifications
- Education: Bachelor's degree in Business Administration, Public Administration, or a related field is preferred. (OR) 3 years of general clerical experience.
- Experience: At least 2 years of progressively responsible administrative or clerical experience in a federal or government setting is required.
- Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and electronic records management systems.
- Knowledge: Demonstrated knowledge of federal personnel rules, regulations, and administrative practices (e.g., FERS, OPM guidelines).
- Clearance: Ability to obtain and maintain a Secret Security Clearance.
- Communication: Excellent written and verbal communication skills with the ability to interact professionally with all levels of staff and the public.
