Responsibilities
- Record Management: Receive, sort, and distribute incoming mail, packages, and electronic communications promptly and accurately to ensure departmental efficiency.
- Filing Systems: Maintain organized, secure, and up-to-date filing systems for both digital and physical records in strict accordance with county retention and confidentiality regulations.
- Public Assistance: Greet visitors and answer incoming phone calls, directing inquiries to the appropriate department or providing general information about government services.
- Data Entry: Perform high-volume data entry tasks into government databases, ensuring all entries are accurate, legible, and timely for reporting purposes.
- Documentation: Assist in the preparation, copying, and scanning of various legal and administrative documents, contracts, and meeting packets.
- Meeting Support: Coordinate schedules, prepare agendas, and take minutes for departmental meetings when required.
- Inventory Control: Monitor and maintain office supplies and equipment, placing orders as needed to prevent operational downtime.
Qualifications
- Education: High school diploma or GED equivalent is required; Associate’s degree in Business Administration or related field is preferred.
- Experience: Minimum of 1-2 years of prior experience in an administrative, clerical, or customer service role within a corporate or government setting.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software (e.g., Salesforce, Accela, or similar government systems).
- Communication: Excellent verbal and written communication skills with the ability to interact professionally and courteously with the public and staff.
- Attention to Detail: Strong ability to maintain accuracy in data entry and document processing while managing multiple priorities.
- Availability: Must be willing and able to work flexible hours, including evenings and weekends, to meet departmental operational needs.
- Background: Ability to pass a standard background check and drug screening.
