Responsibilities
- Manage High-Volume Communications: Answer incoming inquiries via phone and email, routing urgent matters to the appropriate department heads immediately.
- Administrative Support: Prepare and distribute meeting agendas, take minutes, and organize departmental files and records both digitally and in hard copy.
- Processing & Data Entry: Accurately input data into government databases, process permits, and maintain updated public records.
- Customer Service: Assist constituents with navigating city services and provide clear, professional guidance on regulations and procedures.
- Office Management: Maintain a professional office environment, manage inventory for office supplies, and assist in coordinating facility upkeep.
- Reporting: Assist in the preparation of monthly and quarterly reports as required by senior management.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree in Business Administration or Public Administration is preferred.
- Experience: Minimum of 2 years of experience in an administrative or clerical role within a government or corporate environment.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with government database systems (e.g., ESRI, SAP) is a plus.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
- Attention to Detail: Strong organizational skills with a keen eye for accuracy in data entry and record keeping.
- Availability: Must be available to work a standard 40-hour work week with potential for occasional evening or weekend shifts during peak periods.
