Responsibilities
- Manage high-volume incoming communications, including mail, emails, and phone calls, and route them to the appropriate departments promptly.
- Assist the public with inquiries regarding city ordinances, permits, and services, providing accurate information and guidance.
- Perform data entry and maintain accurate, up-to-date digital and physical records in accordance with government regulations.
- Prepare, process, and file a variety of official documents, reports, and applications.
- Operate standard office equipment, including scanners, printers, and fax machines, to facilitate departmental operations.
- Assist in the preparation of weekly payroll and attendance records for departmental staff.
- Maintain the cleanliness and organization of the front office reception area to ensure a welcoming environment.
Qualifications
- High School Diploma or GED required; Associate’s degree preferred.
- Minimum of 1-2 years of previous experience in an administrative or clerical role within a government or corporate setting.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and basic computer skills.
- Excellent verbal and written communication skills with a focus on customer service.
- Strong attention to detail and the ability to multitask in a fast-paced environment.
- Must be able to maintain strict confidentiality regarding sensitive citizen data.
- Reliable attendance and punctuality are mandatory.
