Responsibilities
- Public Assistance: Greet visitors and answer incoming phone calls with a professional demeanor, directing inquiries to the appropriate department or staff member.
- Record Management: Organize, maintain, and retrieve municipal files, permits, and historical records with strict attention to accuracy.
- Administrative Support: Prepare, proofread, and distribute correspondence, agendas, meeting minutes, and reports for various city boards and commissions.
- Data Entry: Input data into various computer systems and databases, ensuring all information is current and confidential.
- Service Processing: Assist in the issuance of business licenses, permits, and other official documents to residents and businesses.
- Office Operations: Maintain a clean and organized workspace, manage inventory of office supplies, and troubleshoot basic office equipment issues.
Qualifications
- Education: High school diploma or GED equivalent required; Associate’s degree in business administration or public service is preferred.
- Experience: Prior experience in a clerical, administrative, or government office setting is highly desirable.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Communication: Excellent verbal and written communication skills, with the ability to interact respectfully with a diverse population.
- Attention to Detail: Strong organizational skills and the ability to maintain high standards of accuracy in data handling and filing.
- Reliability: Ability to work independently as well as part of a team, adhering to established schedules and procedures.
