Responsibilities
- Document Management: Process, file, and maintain accurate records of official city correspondence, permits, and administrative documents.
- Customer Service: Provide exceptional assistance to the public via phone, email, and in-person, resolving inquiries regarding city services and procedures.
- Data Entry: Perform high-speed and accurate data entry using various computer systems and databases to update resident and business information.
- Record Keeping: Assist in the preparation and distribution of meeting minutes, agendas, and official notices to city council members and the public.
- Office Operations: Manage the front desk reception area, including answering multi-line phones and greeting visitors with professionalism.
- Reporting: Support the department head by compiling reports and statistics related to office performance and community engagement.
Qualifications
- Education: High School Diploma or GED equivalent is required; some college coursework in Business Administration or Public Records is preferred.
- Experience: Minimum of 1-2 years of experience in clerical, administrative, or customer service roles.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and experience with database management software.
- Communication: Excellent verbal and written communication skills with the ability to interact effectively with diverse populations.
- Attention to Detail: Strong organizational skills and the ability to maintain confidentiality and adhere to strict protocols.
- Availability: Ability to work a flexible part-time schedule, including some evenings or weekends as needed.
