Responsibilities
- Administrative Support: Manage incoming inquiries, screen calls, and route communications to the appropriate department officials efficiently.
- Record Management: Maintain accurate and confidential digital and physical records in compliance with state and federal regulations.
- Public Assistance: Assist eligible citizens with applications for benefits, ensuring all documentation is complete and submitted correctly.
- Meeting Coordination: Schedule and organize meetings for department heads, including preparing agendas and taking minutes.
- Data Entry: Update internal databases with new policy changes, personnel data, and budget allocations.
- Compliance Monitoring: Assist in ensuring that departmental activities adhere to established government protocols and safety standards.
- Community Outreach: Represent the department at local events or assist in community informational sessions.
Qualifications
- Education: High School Diploma or GED required; Associate’s degree or Bachelor’s degree in Public Administration, Political Science, or related field is a plus.
- Experience: Previous experience in a government, administrative, or customer service role preferred.
- Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to learn internal government software systems quickly.
- Background: Must pass a standard background check and drug screening as required for state employment.
- Availability: Must be available to work a minimum of 15-20 hours per week, including some weekends or evenings if required.
- Communication: Excellent verbal and written communication skills with the ability to interact professionally with diverse populations.
