Responsibilities
- Receive, screen, and direct incoming phone calls, emails, and visitors to appropriate City departments or personnel.
- Perform complex clerical duties including data entry, filing, record maintenance, and document preparation.
- Assist the public with inquiries regarding city services, ordinances, and procedures in person and via telephone.
- Process applications, permits, and official documents with high accuracy and attention to detail.
- Maintain accurate databases and filing systems to ensure the efficient retrieval of information.
- Operate standard office equipment, including computers, printers, scanners, and multi-line telephone systems.
- Prepare correspondence, reports, and meeting materials as requested by supervisors or elected officials.
Qualifications
- High School Diploma or GED equivalent is required; additional post-secondary education or certification in office administration is preferred.
- Minimum of one to two years of experience in a clerical, customer service, or administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and government-specific software (e.g., ERP systems).
- Strong verbal and written communication skills with the ability to interact professionally with diverse populations.
- Excellent organizational skills and the ability to prioritize tasks in a fast-paced environment.
- Must be able to pass a background check and a drug screening as part of the hiring process.
- Valid Arizona driver's license may be required depending on departmental needs.
