Responsibilities
- Public Interaction: Greet and assist visitors, answering inquiries regarding state services, regulations, and procedures in a professional and courteous manner.
- Record Management: Maintain accurate and organized digital and physical records of departmental files, ensuring strict confidentiality and compliance with state regulations.
- Data Entry & Analysis: Input and verify complex data into state databases, preparing regular reports for state officials and maintaining statistical accuracy.
- Communication Coordination: Screen and direct phone calls, emails, and correspondence to appropriate department personnel; draft and distribute internal memos.
- Compliance Support: Assist in the preparation of government applications, forms, and documentation, ensuring all eligibility requirements are met.
- Meeting Support: Schedule and coordinate meetings for department heads, including logistics, agenda preparation, and minute-taking.
Qualifications
- Education: High School Diploma or GED equivalent required; Associate’s Degree or Bachelor’s in Public Administration, Business, or a related field is a plus.
- Experience: Previous experience in an administrative or office support role within a government or corporate environment is highly preferred.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with state-specific database management systems.
- Soft Skills: Strong written and verbal communication skills, with the ability to interact effectively with diverse populations and government officials.
- Attention to Detail: Exceptional organizational skills and the ability to maintain accuracy in high-volume environments.
- Background Check: Ability to pass a standard background check and security clearance required for state employment.
